Why did this publication appear in this topic?

Sometimes, during monitoring, publications that do not correspond to the expected search results or that require more specification can appear in your topic.
Such situations can happen due to a variety of reasons, but they can be avoided if you understand the way the system works better. We suggest you find out why irrelevant publications appear and how how this can be prevented.

Why did this publication appear in the topic?

If you consider that a certain publication is not relevant to your chosen monitoring topic, you should check a few important issues.

Check the topic the publication has reached
  1. If your account has more than one topic, you should check which topic the publication has reached. If you are in review mode with no topics, the publications feed will display publications related to all topics in your account, so a publication you think is irrelevant may belong to another topic in your account. Learn more about viewing topics.
Check the keywords
  1. Make sure that the article contains the keywords that are present in your topic settings. You can use keyword highlighting to quickly find keywords in your publication. In the publication view, click on the topic title and the system will immediately find the keywords that the publication is based on in the topic. To check the words in the topic you need to open the topic editing window. Read more about editing topics. If you do not see any highlighted words in the article, you should also check whether they have been adde into the "highlighted words" field in your topic settings. If there are keywords in the search query that are not relevant to the monitored subject, edit the query using the search query language  or contact your support manager or send a message to the system chat.
  2. An irrelevant publication could be monitored because of missing stop words, for example if the subject of your monitoring is "Ilon Musk" but you only put "Musk" in the search query, publications concerning another person, such as "Mae Musk" (''Ilon Musk's mother'') could be monitored.
The user must have appropriate permissions to be able to view settings and edit their own topics. If you have not created the topic, but need to edit it or want to know the details of its settings, please contact your support manager or send a message to the system chat.

Check the topic settings
  1. Pay attention to the selected media types when setting up the topic. You or your support manager may have added an unnecessary media type to the list and as a result an irrelevant publication has been added to the topic.

How can I delete a unrelevant publication?

When all issues have been considered and the publication really should not have been in a topic, users can delete selected documents or data sets by topic/topics separately in the Semantrum system.
Please note:
  1. The document will be deleted entirely from your account.
  2. The document will be deleted for all users of the account.
  3. If it is necessary to bring a publication back to a topic, this can be done by re-filling that topic with publications from the required period. Learn more about filling topics with publications from previous periods.
  4. In order to be able to delete publications, the user must have appropriate permissions (learn more about user roles and permissions).

What to do if...
  1. If you are trying to delete a publication, but the delete icon is inactive, it could mean that the topic does not belong to your account, but is only displayed in it. This situation happens when several accounts are set up for one company in the system. In this case please contact your manager or send a message to the system chat.
  2. If your account has a large number of irrelevant publications and it is problematic to delete them manually, you can delete a topic and create a new one using the Information Search Language in Semantrum and fill the previous publication history for that topic to upload relevant publications (read more about filling topics with publications from previous periods). If you are unable to edit, delete a topic, please contact your support manager or send a message to the system chat. Our managers will inform you why the publications appeared in your account and will define the necessary steps to remove the publications from your monitoring.

What can I do to prevent irrelevant publications from entering the topic?

  1. To prevent irrelevant publications you should use stop words in your search query. Learn more about excluding keywords from search and about creating a topic about person.
  1. Quite often when creating a topic with common words such as Red Cross, the topic will include publications related to different companies or organisations. In other words, if the object of the monitoring is the Ukrainian Red Cross Society, it is necessary to type in the search query exactly that and alternatives such as Red Cross of Ukraine, Ukrainian Red Cross, etc. Thus, the topic will not include publications about the International Committee of the Red Cross.   2. If you do not want to receive publications from a particular site or source, please send a message to the system chat or contact your manager.
  3. If you want to exclude a particular country or source region from monitoring, send a message to the system chat or contact your manager.
